Working as the secretary for a lawyer for almost 5 years, I am still continuously burdened by the tons of documents that get piled up on my table daily. A document, after being signed and forwarded some copies of it to all persons concerned, just accumulates dust and mites in the office’s file cabinet. Sometimes, documents are not needed at all after being used, but I cannot just throw them away. In the field of law, old records should be kept because they serve as reference when things crop up along the investigation process. Letters of communication, forms to be filled up, protocols to be followed by concerned individuals in certain instances, closed cases, unresolved cases, copies of investigation are just few of the documents I keep. My own skill in document management system fails when papers just fall on my table every minute of the day. I never complained and will never be because it is my job. But sometimes, my pledge to do my duty falters because of the bulkiness of the data I should properly keep and monitor.
Good thing to have a sensitive boss. He provided me just recently document management software and let me attend a webinar on how to accurately use it. I learned the process easily and started to organize every document using the software. It was amazing! In just a click, I can retrieve the data my boss is asking me to produce in just a quarter of a minute. And If I am too busy with my work, I can even request him to find the papers personally by just giving him the file name or the keywords. But most of the time, my boss never asks me anymore to provide him the needed papers unless hardcopies are really required.
